Privacy Policy
Effective 20 September 2026 ยท Developer: SenTHANi
This policy explains what the SenFlow Windows app and the product website handle, where data goes, and what you can control. SenFlow is developed by SenTHANi.
Data the desktop app processes
Microphone audio and chosen audio files
When you start dictation, SenFlow captures microphone audio and streams it directly from your computer to the Gemini API. A rolling pre-roll buffer can include approximately 400 milliseconds of audio from before the hotkey press. The optional Live Interpreter captures and streams microphone audio only after you click Start, returns translated audio and text, and stops when you click Stop or close its window. If you choose audio files to transcribe, SenFlow uploads each file to Google's Gemini Files API and requests deletion immediately after its transcription request finishes, including after a failed transcription when possible. Google's Files API may otherwise retain an uploaded file for up to 48 hours under its service behavior. Audio kept temporarily for a failed-turn retry remains in the running app's memory; SenFlow does not save those recordings as audio files.
Text and context sent for AI features
Gemini returns transcript text. When you use AI cleanup, editing, or translation, SenFlow may send the transcript, your spoken instruction, selected text, custom vocabulary, and limited recent text or application context to Google to generate the requested output. The app checks the active Windows application and window title to choose styles and record context. It also uses the clipboard when copying, pasting, or editing text.
Files saved on your computer
%APPDATA%\SenFlow\scratchpad.dbstores successful transcript and transformation text, the raw version, time, style, active app and window title, favorite status, and available word timing and speaker metadata for imported meetings. The default limit prunes older non-favorite entries after 2,000; favorites can remain beyond that limit.%APPDATA%\SenFlow\api_keystores a key saved through setup or Settings as Windows DPAPI ciphertext tied to the current Windows account. Existing plaintext SenFlow key files are encrypted after a successful read. A key may instead come from an environment variable, config.toml, or a local.envfile, and those alternatives are not encrypted by SenFlow. The app sends the key to Google to authenticate API requests.%APPDATA%\SenFlow\config.tomlstores preferences, which can include vocabulary, replacements, snippets, device choices, and style settings.%APPDATA%\SenFlow\usage.jsonstores usage counters and cost estimates when tracking is enabled.senflow.logstores operational messages and errors; normal logs are intended to record status and lengths rather than complete dictations.
The tray's separate recent-transcripts list is held in memory and clears when the app exits. Scratchpad storage remains until entries are deleted or the app's data folder is removed. There is currently no setting that disables saving successful dictations to Scratchpad by default.
Who receives data
Google receives API requests containing the audio or text needed for transcription and optional AI features. The desktop app does not upload dictation history to a SenTHANi server. Data you copy, export, or insert into another application is then handled by the destination you choose. SenTHANi does not sell your dictations.
Google's handling depends on the terms that apply to your API key and account. Google's Gemini API terms explain unpaid and paid service data use, limited safety logging for paid services, and regional exceptions. The free or paid selection inside SenFlow does not alter Google's actual billing or data handling.
The product website
The product page and these legal pages have no analytics scripts, tracking pixels, account form, or cookies in the files supplied with SenFlow. A web host may still receive technical request data such as IP address, browser type, and requested pages in its server logs. The host's own practices depend on where these files are published.
Your choices
You can inspect, copy, export, delete individual entries, or clear Scratchpad history from the app. You can remove a saved API key or configuration file from the SenFlow data folder. The uninstaller offers a choice about deleting local app data. Setting history_size = 0 disables the separate tray memory list, and track_usage = false stops persistent usage counters; neither setting disables Scratchpad recording. Deleting local files does not delete content already sent to Google or content you placed in another application.
Security, children, and changes
The dedicated saved API key is protected with Windows DPAPI for the current account. Other local files rely on your Windows account's file protections, so protect access to your computer and revoke a key if it is exposed. The app is not designed for children to use without an adult managing the Google account and deciding what may be dictated.
We may update this policy when the app's data handling changes and show a new effective date here. For privacy questions about SenFlow, contact SenTHANi through senthani.com. For data already processed by Gemini, consult Google's terms and privacy controls.
